William Hall & Co (“us”, “we” or “our”) is committed to respecting your privacy and to complying with applicable data protection and privacy laws.

You can visit our website without disclosing any personally identifiable information about yourself (although please note that we may use cookies and collect other non-personally identifiable information about your browsing activity).

If you do submit personal information via email, telephone or any other application made to us, you can be assured that we will only use your personal information to support your relationship with William Hall & Co.

In order to manage the affairs of our clients’ we collect certain types of personal information.

The types of data we collect may include:

• Name, D.O.B and contact information

• Information relating to family and next of kin
• Passport/Driving Licence information
• Health and welfare information

We collect this data directly from yourself, your nominated representatives, your nominated referees, financial institutions and credit reference agencies.

• Suppliers of goods or services
• Credit reference agencies
• Nominated referees & guarantors
• Financial organisations
• Utility companies
• Local & Central Government
• Solicitors and other professional advisors

We process and share data on 3 legal bases:

• For the purposes of forming a contract
• As a legal requirement, e.g. Gas Safety
• Legitimate interests

All paper records are stored in lockable cabinets, a secure onsite strong room or a secure offsite archive store when not in use. All electronic devices are password protected.

We keep information for a minimum of six years after the termination of your contract.

William Hall & Co is constantly reviewing and enhancing its technical, physical and managerial procedures and rules to protect your personal data from unauthorised access, accidental loss and/or destruction.

Please be aware that communications over the internet, such as emails/webmails, are not secure unless they have been encrypted. William Hall & Co cannot accept responsibility for any unauthorised access or loss of personal information that is beyond our control.

Individuals have certain rights under the General Data Protection Regulation to access their personal data held by an organisation. Please write to Data Protection Officer, William Hall & Co.,  The Estate Office, Hawarden, Flintshire, CH5 3NX and provide brief details of the information you are requesting.  We will respond to any reasonable, written request within one month.
